How many mailboxes you actually need
Before you start buying domains and creating mailboxes, it pays to calculate how many you actually need. The answer isn't a guess, it's simple volume math. Let's walk through it and at the end you can work it out for yourself.
Basic math
For cold email, a healthy mailbox handles roughly thirty messages per day. Not because it can't do more technically, but because higher volume from one mailbox raises the risk of landing in spam. From that comes a simple formula:
number of mailboxes = how many emails per day / 30
If you want to reach three hundred new contacts daily, you need about ten mailboxes. For six hundred emails per day, twenty mailboxes. Monthly, at roughly twenty-two working days, ten mailboxes send around six thousand six hundred messages.
Why not two hundred emails from one mailbox
It's tempting to cut mailbox count and send more from each. But filters watch exactly that. A sudden spike from one address looks like spam and wrecks the reputation you've built. It's safer to spread volume across more mailboxes and domains. If one mailbox hits trouble, it won't sink the whole campaign.
How many domains and mailboxes then
- Keep roughly two to three mailboxes per domain so the domain doesn't look like a mail factory.
- Use several sending domains to spread risk.
- Keep reserves. Some mailboxes are always warming up and not sending at full speed yet.
Example with numbers
Say you want to reach six thousand new contacts monthly. That's about two hundred seventy emails per day at twenty-two working days, so roughly nine to ten active mailboxes. With reserves for warm-up, set up twelve mailboxes spread across four to five domains. That gives you room to grow and nothing gets overloaded.
Calculate it yourself
So you don't have to do it on paper, we built a calculator. Plug in how many emails you want to send daily and it shows how many mailboxes and domains you need and what it costs.
Why more mailboxes don't inflate the price for us
Most tools charge per mailbox or per sent email, so every extra mailbox raises the total. ColdEmailServer has one flat rate with unlimited mailboxes and domains. Whether you send from ten mailboxes or fifty, the cost stays the same. You scale volume to fit your needs, not the price tag.
